Privacy Policy

1. Who We Are

This website is operated by Performance Fitness Coaching LTD, a company registered in England and Wales under company number 17300627, trading as Performance Coaching UK. The data controller is Rokas (Rocky).

For the purposes of UK data protection law, Rokas is the data controller for personal data collected through this website.

2. What Data We Collect

We collect personal data only when you actively provide it to us. This includes:

• Name, provided via the contact form
• Email address, provided via the contact form
• Phone number, if provided voluntarily via the contact form
• Fitness goals and health information, provided in the message field of the contact form
• WhatsApp messages and communications, if you contact us directly via WhatsApp
• Name, email address and appointment time, provided when you book a session using our Calendly scheduler
• Email address and stated product interest: provided via the waitlist form, if you sign up to be notified when a guide becomes available

We do not collect payment information directly. Any payment processing is handled by third-party providers (such as Stripe) under their own privacy policies.

3. How We Use Your Data

We use the data you provide solely for the following purposes:

• Responding to your enquiry and discussing coaching services
• Delivering personal training and coaching services once an agreement is in place
• Scheduling and managing coaching sessions, including bookings made via Calendly
• Sending you relevant programme updates and check-in communications
• If you join our waitlist, sending you an email when the specific guide(s) you registered interest in becomes available

We do not send unsolicited marketing. The only exception is the waitlist: if you sign up via our waitlist form, you are explicitly opting in to receive an email when the specific guide(s) you registered for becomes available. This is the one marketing-type email we send, and only to people who asked for it. We do not sell or share your personal data with any third parties for their own purposes.

4. Legal Basis for Processing

We process your personal data on the following legal bases under the UK GDPR:

• Legitimate interests, to respond to your enquiry and provide the services you have requested
• Contract performance, to deliver coaching services once you have engaged us
• Consent, where you have explicitly provided information, such as submitting the contact form

5. How Your Data Is Stored and Processed

Contact form submissions are processed by Web3Forms (web3forms.com), a third-party form submission service. Web3Forms transmits your form data to us by email and operates under its own privacy and security policies. We do not store your form data on this website’s server.

Before your enquiry reaches us by email, it passes through Anthropic’s Claude API (anthropic.com), which writes a short internal summary to help us respond to you more usefully, for example, which service is likely to suit you and anything you have told us that we should know before your first session. That summary is for our own use only and is never shown to anyone outside the business. Your enquiry is not used to train any AI model and is not retained by Anthropic beyond the processing of that single request. See anthropic.com/legal/privacy. If you would rather your enquiry were not processed this way, email or WhatsApp us directly instead of using the form.

Ongoing coaching communications take place via WhatsApp (Meta Platforms). WhatsApp operates under Meta’s own privacy policy. We recommend reviewing their policy if you have concerns about messaging platform data handling.

Session bookings are handled by Calendly (calendly.com), a third-party scheduling service embedded on our contact page. When you book a slot, Calendly processes your name, email address and chosen appointment time to schedule and manage the booking. Calendly operates under its own privacy policy, see calendly.com/privacy.

Your data is not transferred outside the UK or European Economic Area in ways that would reduce your rights under UK GDPR.

6. How Long We Keep Your Data

We retain personal data for as long as your coaching relationship with us is active. Following the end of any coaching engagement, we will hold relevant data for a further 12 months, after which it will be deleted or anonymised.

If you submitted an enquiry but did not proceed with coaching, your data will be deleted within 6 months of your last communication.

7. Cookies and Analytics

This website uses Google Analytics 4 (GA4) to collect anonymised data about how visitors use the site: such as pages visited, time on site, and general location (country/region level). This helps us understand how the site is performing.

GA4 uses cookies to collect this data. These are analytics cookies only. We do not use advertising, tracking, or third-party marketing cookies.

By continuing to use this website, you consent to the use of GA4 analytics cookies. You can opt out at any time using the Google Analytics Opt-out Browser Add-on.

8. Your Rights Under UK GDPR

You have the following rights regarding your personal data:

• Right of access. You can request a copy of the personal data we hold about you
• Right to rectification. You can ask us to correct inaccurate or incomplete data
• Right to erasure. You can ask us to delete your personal data (“right to be forgotten”)
• Right to restrict processing. You can ask us to limit how we use your data
• Right to data portability. You can request your data in a portable format
• Right to object. You can object to processing based on legitimate interests

To exercise any of these rights, contact us at rocky@performancecoachinguk.co.uk. We will respond within 30 days.

If you are not satisfied with how we handle your data, you have the right to lodge a complaint with the Information Commissioner’s Office (ICO) at ico.org.uk.

9. Data Security

We take reasonable steps to protect your personal data from unauthorised access, loss, or misuse. Communications are conducted over encrypted channels where possible. However, no method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

10. Third-Party Links

This website may contain links to third-party websites (including WhatsApp & Instagram). We are not responsible for the privacy practices of those sites. We recommend reviewing their respective privacy policies before submitting personal data to them.

11. Changes to This Policy

We may update this privacy policy from time to time to reflect changes in our practices or legal requirements. The “Last updated” date at the top of this page will always reflect the most recent version. Continued use of this website after any changes constitutes acceptance of the updated policy.
